All travelers/clients are kindly requested to read the following terms and conditions carefully. You must not make any booking unless you are 18 years of age or older to understand and agree with the following terms and conditions.
These terms and conditions apply to bookings you make with a Consultant (in-store, or by email or via our website). These terms and conditions govern the relationship between you and the company. Once we accept a booking from you on behalf of a Supplier. The terms and conditions contained in this document shall apply to the tour booking concluded between the Company and the undersigned client in respect of the tour, as more fully described in the tour itinerary provided to the client on confirmation of the booking.
It is the traveler/client’s responsibility to make sure that they have sufficient coverage with insurance such as;
Travel medical insurance provides emergency medical coverage when you are outside your home country.
It is also knows as: Travel Health Insurance, International Medical Insurance, and International Travel Insurance.
It provides coverage for medical emergencies, accidents, emergency evacuations, and repatriation. In many cases, travel medical plans include comprehensive-style benefits, but those benefits are often limited; this type of travel insurance plan focuses on medical and evacuation coverage.
Travel accident plans provide international accident protection and term life benefits for frequent travelers.
This type of plan focuses on AD&D (accidental death and dismemberment) and term life insurance benefits that are in effect while the insured is traveling on an insured trip or during their annual coverage period, depending on their plan.
Health
It is the responsibility of the traveler/client to insure that proper medical precautions especially vaccinations, immunizations and other checkups have been taken before your travel.
To the extent permitted by law, we do not accept any liability in contract, tort or otherwise for any injury, damage, loss (including consequential loss), delay, additional expense or inconvenience caused directly or indirectly by the acts, omissions or default, whether negligent or otherwise, of third party providers over whom we have no direct control, force majeure or any other event which is beyond our control or which is not preventable by reasonable diligence on our part. Under circumstances where our liability cannot be excluded and where liability may be lawfully limited, such liability is limited to the remedies required of us under applicable law (including the East African Consumer Law). In particular, we disclaim any liability for any consequential loss, including loss of enjoyment or amenity. This liability clause is subject to your rights.
GOVERNING LAW
If any dispute arises between you and us, the laws applicable in Uganda will apply. You irrevocably and unconditionally submit to the exclusive jurisdiction of the supreme courts of Uganda, and waive any right that you may have to object to an action being brought in those courts.
All activities and products mentioned in the safari itinerary such private ground transport (4*4 & fuel), all costs to park entry Safari guide, boat cruiser, game drives, gorilla and chimp permits, hiking, rafting, all meals and accommodation is included on the prices and taxes. This is if nothing else has been agreed
International flights (unless special agreement), insurance, visa fees, beverages, items of personal use and tips and many others.
If you want to make changes in your itinerary after booking has been confirmed Route wild safaris will arrange this if it is possible and advise if costs are needed or not. Note that the dates for gorilla and chimpanzee trekking cannot be adjusted after booking is confirmed.
In the case of unanticipated situations (such as road closures, bad weather, insecurity or problems with hotels) Route wild safaris reserves the right to make adjustments in the itinerary for your trip happen. You will of course be informed about this as soon as possible to avoid disorganization.
You will be required to pay deposit (or deposits) while booking of about 40%-50% depending on the product booked and final payment will be required no later than 45-50 days prior to departure in connection with the booking. Payment which includes the Gorilla and Chimpanzee permits should at least be confirmed one month prior to safari full payments since these have to be secured right away, unless other terms have been agreed with the booker. This payment is non-refundable as it is paid directly to the gorilla tour operators. Bookings made within one month of departure must be paid in full in connection to booking. After receipt of first payment has been received, then Route Wild Safaris will take necessary steps to secure bookings of facilities and activities specified in the safari itinerary.
Payments can be done through bank transfer and credit card payments for international travelers to our account in Uganda. Fees for transfer are paid by the client. We accept payment in cash and Cheques for non-international travelers paid directly to our office with authorized personnel.
To consider a booking, traveler must have confirmed and Route Wild Safaris sends written confirmation to the client/agent confirming the booking. Invoices are issued on booking confirmation with a deposit of 40%-50% payment is. Full payment is due 50 days prior to the departure date.
If a booking is made within 60 days of the tour departure date, 45%-50% payment is required on booking. If the booking is made within 30-40 days of the tour departure date, 100% payment should be, made on booking. Non-payment of stipulated percentage at time of confirmation, within 60 days of tour departure date, will result in the cancellation policy being applied.
During a safari, travelers are not guaranteed of the best sighting while on a game drive or trekking of animals in the parks because these are wild animals. But park rangers and our guides will do their best to make sure you get a great experience. Route Wild Safaris has the obligation to control or deny any traveler behaving in a way that can cause danger/inconvenience to any third party, damage to property, environments or ecosystems on the trip. Such scenario no refunds will be made where Route Wild Safaris will not be liable for expenses occurring due to termination.
We always make sure that we offer our clients cars that are good conditions for a road worthy. Despite this, there conditions such as punctures, breakdowns, damage or delays caused by poor roads, weather that actually that are out of our control.
Trip Cancellation provides reimbursement for prepaid and non-refundable trip payments if a trip is canceled due to unforeseen circumstances, including illness, injury, or death.
This could be pre-departure or after departure benefit that can reimburse 100%, 50%, less 50% or NOTHING of a traveler’s trip cost if they need to cancel their trip for a covered reason. The most common covered reason is unforeseen illness, injury, or death of the traveler, a traveling companion, or a non-traveling family member. Other common covered reasons include terrorism, inclement weather, or natural disaster, among others.
Gorilla Permit: When a client cancels a tour/safari that includes a gorilla trekking permit, the permit price is non-refundable and will be forfeited.
Private Groups: Please refer to the cancellation conditions on the individual quotation contract.
Any cancellation of a scheduled tour/safari booking must be made in writing and is not effective until such written cancellation is received and acknowledged by route wild safaris.
Any deposit/s made more than 60days prior departure are non-refundable in case of cancellation (excluding the non-refundable gorilla trekking permit)
Should any Client wish to cancel a confirmed booking 60 days or less prior to the date of departure of the safari for any reason (except due to death or hospitalization wit confirmation from the doctors or authorized hospital), the client shall be liable to pay a cancellation fee/penalty. These fees/penalties are calculated in regard to the nature of the booking, length of notice of cancellation and reasonable potential to find alternative customers. Regard to the above-mentioned factors, the following percentages may be forfeited by the customer in respect of the arranged tour price due to a no-show basing on the number of days between receipt of the cancellation notice and the date of the departure:
60 Days: Loss of the Deposit
30 – 60 Days: 50% of the safari/tour price is held as cancellation
10 – 29 Days: 75% of the safari/tour price is held as cancellation
0 – 9 Days: 90% of the safari/tour price is held as cancellation
IMPORTANT NOTE: All cancellations need to be made in writing and confirmed by email to the reservation team. Not forgetting that above terms of cancellation fees are applicable to any pre-booked or pre-paid Activity Packages confirmed.
The Company has the obligation, at any time and for any reason, to cancel the tour on notice to the client. In such event, the Company shall refund the tour price to the client. It is recorded that refund of the tour price as aforesaid shall be the Company’s sole responsibility to the client, and no claim for any damages, howsoever arising, shall accrue against the Company by reason of a cancellation of the tour.
IMPORTANT NOTE: Gorilla permits and flight tickets are excluded from percentages above and are 100% non-refundable.
Complaints
Any traveler that encounters issues during a safari should report immediately to the guide for the company to able and do its best to resolve it. If an issue has not been solved to the client's satisfaction a written complaint should be made and e-mailed to company no later than 30 days after returning back to your home country in order to investigate and act on the complaint.
